Hours of work: 37 hours

To provide general administrative & commercial functions

Main Responsibilities
* Contract documentation collation and drafting
* Implement and promote robust controls to maintain effective commercial management
* Support the preparation of subcontractor orders
* Facilitate the management of purchasing goods and equipment
* Prepare scheduled cost/ value reporting
* Process formal documentation in line with business management systems

Commercial Management
* Draft and issue sub-contract notices (i.e., early warnings, delay notifications, payment schedules, contract commencement instructions, completion status, site instructions)
* Understand and support the external valuation process (including issuing to client, obtaining payment certificates, raising invoice requests, issuing invoices, and supporting cashflow)
* Effectively manage the subcontract valuation process (including collating subcontractor applications, payment notices and payment input)
* Undertake the month end commercial reporting requirements
* Distribution of cost reports with supporting back up
* Support completion of various commercial reports
* Issue minutes and follow up on actions arising from month end reviews
* Develop and support the implementation of cost management interventions
* Management of regional WIP and Debt, tracking movement on a schedule's basis
* Management of regional Purchase Ledger

Contract Administration
* Interpret and promote effective site based commercial responsibilities
* Preparation, issuing of subcontract tender enquires
* Implement and administer suite of project controls to aid effective commercial control (i.e., productivity reports, progress trackers, drawing registers).
* Co-ordinate and support Project Contract Reviews (arranging, preparing key documents, presenting information, collating minutes, and distributing actions)
* Facilitating, with the support of site supervisors, effective site record management, including progress tracking, daywork control, plant records, drawings, variations, change controls etc.
* Effectively manage information storage through company data systems
* Interface with site teams to obtain and process timesheets for regional employees
* General administrative duties
* Some travel required throughout Northern Region to provide general administrative & commercial functions

Applicants must have the following experiences:
* Excellent communicator.
* Ideally hold previous experience working within a Commercial team – supporting the Commercial team daily.
* Experience negotiating with Internal and External Stakeholders.
* Hold extensive administration skills within the Industrial sector or within a similar sector.
